Formal Emails in Hindi: 4 Traps That Reveal You're Not a Native
Writing a formal Hindi email? Learn the greeting, address, request, and sign-off mistakes that instantly mark you as a beginner — and the polite Hindi phrases that fix them.
Every week a student sends me a "perfect" business email in Hindi, and every week I can spot the foreigner in the first line. Not because the grammar is broken — because the register is off. Hindi has a formal gear and a casual gear, and mixing them is like wearing sneakers to a wedding. The four traps below are where I see learners slip most: the greeting, the way you address people, how you ask for something, and how you sign off. Get these right and your email reads like it came from a colleague, not a textbook. Learn to open with आदरणीय महोदय instead of a bare नमस्ते, and you're already halfway there.

Trap 1: The greeting that's too friendly
नमस्ते is lovely — for a friend, a shopkeeper, a WhatsApp message. In a formal email to a stranger or a senior, it sounds oddly breezy. The safe formal opener is आदरणीय महोदय (respected sir) or
| English | Too casual | Formal |
|---|---|---|
| Greeting | नमस्ते | आदरणीय महोदय |
| Known name | नमस्ते शर्मा जी | आदरणीय श्री शर्मा |
Trap 2: "You" is a landmine
English has one "you." Hindi has three, and picking the wrong one is a social event. तुम is for close friends and children — never in a business email. आप is the respectful form you want. The verb must agree too: you don't write आप जाता है, you write आप जाते हैं. This single slip screams "beginner" louder than any spelling error.
| English | Wrong | Correct |
|---|---|---|
| You go | आप जाता है | आप जाते हैं |
| You are | आप है | आप हैं |
Trap 3: Requests without कृपया sound like orders
In English, "Please send the file" is polite enough. In Hindi, a bare imperative can land as a command. Wrap it in कृपया (please) and use the gentle दीजिए ending. Compare मुझे फ़ाइल भेजो (blunt, almost rude) with कृपया मुझे फ़ाइल भेज दीजिए (warm and professional). Same request, completely different tone.
| English | Blunt | Polite |
|---|---|---|
| Send me the file | मुझे फ़ाइल भेजो | कृपया मुझे फ़ाइल भेज दीजिए |
| Please reply | जवाब दो | कृपया जवाब दीजिए |
Trap 4: The sign-off that undersells you
Ending with a plain धन्यवाद is fine but flat. Formal Hindi letters close with सादर (respectfully) or आपका विश्वासी (your faithful). Then your name. Skip the exclamation marks — they read as shouting in formal Hindi.
